Position: Senior Executive, Event Producer
Department: Community Engagement
Salary Range: $4,500 – $5,000
Term: Permanent, Full-time (40 hours per week)
About the Role
AWARE seeks an experienced Event Producer to lead planning, logistics, and production for all organisational events – from the annual AWARE Ball to advocacy forums, community fundraisers, and donor cultivation events. This is a new, year-round role designed to professionalise event operations across departments, reduce burden on programme staff, and maximise the impact of AWARE’s events. Key Responsibilities
Org-Wide Event Production (60%)
- Produce 2 large AWARE events, 3-6 mid-sized events and some smaller engagements through the year, from intimate sharing sessions (30 pax) to the Ball (500+ pax)
- Contribute to event programming, theming and ideation for mid-sized and large events.
- Develop and maintain a master events calendar, flagging conflicts and resource needs
- Lead venue sourcing, vendor management (AV, catering, decor, transport), and onsite production including setup and tear down.
- Liaise and coordinate talent and speakers for events
- Create and manage event budgets with post-event reconciliation
- Build a shared digital toolkit: run-of-show templates, vendor contact lists, checklists, contingency plans
Sponsorship & Stakeholder Coordination (20%)
- Cultivate and manage year-round relationships with venues, AV suppliers, printers, caterers
- Work closely with Fundraising team to manage corporate and in-kind sponsorships and partnerships
- Recruit, train, and schedule volunteers for all events (via a shared volunteer database)
Cross-Departmental Support (15%)
- Consult with Advocacy, Comms, and Community Services teams on event feasibility, timelines, and logistics
- Lead post-event debriefs with each department, capturing learnings and ROI data
- Maintain shared event files (Google Drive) accessible to all teams
Admin, Reporting & Optimisation (5%)
- Produce quarterly event performance reports (budget vs actual, attendee feedback, staff time saved). Recommend process improvements for event approvals, vendor contracts, and risk management
Preferred Candidate Profile
- 4+ years event production experience, including at least one large-scale (300+ pax) fundraising gala or conference
- Proven budget management with a track record of coming in within budget
- Strong vendor negotiation skills and existing network in Singapore (venues, AV, F&B)
- Proficiency with Google Workspace, event management software (e.g., Eventbrite)
- Ability to work independently and flexibly (evening/weekend event work required, with time off in lieu)
- Deep alignment with AWARE’s mission and values
- Bonus (not required)
- Experience training or managing volunteers
- Basic video/photo production for social media (behind-the-scenes reels, highlight clips)
- Emceeing experience is a bonus
- Familiarity with CRM software e.g. Neon CRM
- Driving experience is a bonus
